Role Overview
The Domestic Program Coordinator at Baitulmaal plays a key role in supporting the planning, coordination, and execution of humanitarian aid programs within the United States. This position involves hands-on program support, logistical coordination, grant implementation, monitoring, and reporting to ensure impactful and dignified aid delivery. The ideal candidate brings strong organizational skills, community partnership experience, and a deep commitment to Baitulmaal’s mission and values.
Key Responsibilities
Program Support & Execution:
- Assist in the planning and implementation of seasonal campaigns, including food distributions, school supplies, winter aid, and emergency relief. Health and social support programs are also important programs that can be implemented in certain communities in partnership with BM stakeholders.
- Coordinate logistics related to procurement, packaging, and delivery of aid supplies.
- Ensure accurate documentation of beneficiaries, inventory, and program reports.
Program Monitoring, Tracking & Reporting:
- Monitor the progress and quality of domestic program activities to ensure alignment with objectives and timelines.
- Track key performance indicators (KPIs) and maintain accurate records of outputs and outcomes.
- Develop and submit timely reports summarizing program reach, impact, and operational insights.
- Collaborate with the M&E and Communications teams to support data-informed storytelling and donor reporting.
Grants Management & Compliance:
- Identify and apply for local and domestic grant opportunities in coordination with the Programs, Communications, and Fund Development teams.
- Support the implementation of grant-funded projects and ensure compliance with grant requirements, deliverables, and reporting timelines.
- Maintain organized grant documentation and assist in preparing reports for funders and stakeholders.
Volunteer Experience Collaboration:
- Work closely with the Volunteer Management Coordinator to ensure that volunteers supporting domestic programs have clear direction, meaningful roles, and positive, productive experiences.
- Provide timely information about program needs and logistics to support volunteer coordination.
Logistics & Operational Support:
- Manage inventory tracking, shipment coordination, and local distribution setup.
- Monitor program supplies and support procurement needs in collaboration with other departments.
- Ensure all program activities are compliant with Baitulmaal policies and donor guidelines.
Cross-Functional Collaboration:
- Coordinate with the Fund Development, Communications, and International Programs teams to align domestic activities with organizational goals.
- Provide operational input to help improve program design, effectiveness, and efficiency.
Qualifications and Skills
- Bachelor’s degree in nonprofit management, social work, public administration, or related field.
- Minimum of 2 years of experience in program coordination, preferably in a nonprofit or community-based setting.
- Strong organizational and project management skills, with attention to detail and deadlines.
- Experience with program monitoring and evaluation, data tracking, and impact reporting.
- Familiarity with grant application processes and grant implementation requirements.
- Strong interpersonal communication and collaboration skills.
- Proficient in Microsoft Office, Google Workspace; experience with CRM systems or project tools is a plus.
- Fluency in English required; additional language skills (Arabic, Urdu, Spanish) are a plus.
