Position Overview
The Assistant to the Senior Manager, Program Compliance, provides essential administrative, operational, and coordination support to ensure the effective functioning of Baitulmaal’s compliance framework across domestic and international programs. This role supports partner vetting, documentation control, screening processes, audit preparation, compliance tracking, and internal coordination. The Assistant plays a critical role in maintaining organized compliance workflows, ensuring timely follow-up, and supporting the Senior Manager in safeguarding the organization’s humanitarian mission.
Key Responsibilities
Compliance Administration & Coordination
- Provide day-to-day administrative support to the Senior Manager, Program Compliance.
- Coordinate compliance-related communications with internal departments and external partners.
- Maintain calendars, deadlines, and compliance deliverable schedules.
- Support compliance meetings, agendas, and follow-up action items.
Partner Onboarding & Due Diligence Support
- Assist in collecting and organizing partner onboarding documentation, including:
- Registration certificates
- Governance documents
- Banking details
- References and compliance questionnaires
- Support risk assessment workflows and partner file completeness.
- Track onboarding progress and ensure proper approvals before activation.
Restricted Party Screening & Documentation
- Conduct OFAC-related screening processes for:
- Partners
- Vendors
- Beneficiaries (where applicable)
- Maintain logs and evidence of screening results.
- Ensure all compliance files meet audit trail standards.
Compliance Tracking & Internal Controls
- Maintain compliance trackers, dashboards, and monitoring tools.
- Support periodic compliance reviews and partner monitoring activities.
- Assist with documenting corrective action plans and follow-up status.
- Maintain organized digital and physical compliance records in accordance with document retention policies and industry best practices.
Audit & Reporting Support
- Assist in preparation for:
- Donor compliance checks
- Internal audits
- External financial or program audits
- Compile supporting documentation for compliance decisions and approvals.
- Support the Senior Manager in producing compliance summaries and reports.
Training & SOP Support
- Assist in organizing compliance training for staff and partners.
- Maintain training attendance records and materials.
- Support SOP formatting, updates, and document distribution.
Qualifications & Experience
Required
- Bachelor’s degree (or equivalent experience) in compliance, public administration, international development, or related field.
- Strong organizational and documentation skills.
- High attention to detail and the ability to manage sensitive information.
- Proficiency with Microsoft Office and cloud-based document systems.
Preferred
- Familiarity with nonprofit humanitarian operations.
- Basic knowledge of OFAC compliance or sanctions frameworks.
- Experience supporting audits, due diligence, or partner management.
Technical & Operational Skills
- Proficiency in Microsoft Office and other program management software.
- Ability to work in cross-border, remote, and emergency response environments.
- Familiarity with institutional donor engagement and funding mechanisms.
